About the Invoice Late Fee Calculator

A $1,000 invoice paid 45 days late owes $22.50 at 1.5% a month: $1,000 × 1.5% × 45 ÷ 30. This invoice late fee calculator counts months as 30 days and never compounds, so the fee grows by the same amount every day until the invoice is paid or the cap is reached.

Frequently asked questions

How do I calculate a late fee on an invoice?
For a percentage per month, multiply the invoice by the monthly rate and by the days late ÷ 30. A $4,800 invoice 75 days late at 2% a month is $4,800 × 2% × 2.5 = $240.00. For a flat fee per day, multiply the fee by the days late.
Is 1.5% a month the same as 18% a year?
In this tool, yes: the fee is simple, so twelve 30-day months at 1.5% add up to 18% of the invoice. 360 days late on $1,000 at 1.5% a month is $180.00. A contract that compounds the charge would come out higher.
How are the days late counted?
From the due date to the settlement date, rounded up to whole days, so 1 March to 15 April is 45 days. A settlement date on or before the due date gives no fee, and a due date after today shows Invoice is not yet due.
What does the fee cap do?
It stops the fee at a percentage of the invoice. A $1.50-a-day fee on $1,000 with a 5% cap reaches $50.00 on day 34 and stays there however late the payment is. A cap of 0 means no cap.
Can I charge a late fee on an unpaid invoice?
Usually only when it was agreed beforehand, for example in your contract or the payment terms on the invoice, and within any limit set by the law where you and the client are. In the UK, business-to-business debts can carry statutory interest of 8% a year plus the Bank of England base rate. This tool works out the amount, not whether you may charge it.
How does a grace period or a one-time fee change the late fee?
A grace period is taken off the days late before anything accrues: 45 days late with 10 days of grace at $1.50 a day charges 35 days, $52.50, and a payment inside the grace period owes nothing. % once charges a share of the invoice a single time, 2% of $1,000 is $20.00. $ once + % per month adds a flat fee to the monthly percentage: $25 plus 1.5% a month on $1,000 for 60 days is $55.00. The cap applies to all of them.
