How Time Card Calculations Work

Hours are computed by converting clock-in and clock-out times to minutes, subtracting any unpaid break (in minutes), and rolling over to 24 hours if the shift crosses midnight. Under the federal Fair Labor Standards Act (FLSA), overtime is paid at 1.5x the regular rate for any hours worked beyond 40 in a single workweek. Some states (notably California, Colorado, and Alaska) also require daily overtime—typically 1.5x for hours over 8 per day and 2x for hours over 12. Employers may round clock-in/out times to the nearest 5, 10, or 15 minutes if the rounding policy is neutral and applied consistently (DOL opinion letter FLSA2009-13). Time card data should be retained for at least three years per federal recordkeeping rules.
